Booking an airport transfer for someone visiting Manchester

You can arrange an airport transfer for someone else by supplying their flight, name, contact number and destination, while keeping your own details as the booking organiser. The traveller should receive the confirmed meeting instructions before departure. A booking confirmation stored only on your phone will not help them find the driver.

Send the arriving flight details

Use the final flight into Manchester, the arrival date and the name the passenger will recognise on a meeting board if meet and greet is booked. If the journey involves a connection, check that you have not supplied the first flight by mistake.

Make sure the passenger can be contacted

Include their number with international dialling code and discuss how they will receive calls or messages in the UK. Keep your number as backup. If the traveller will not have a working phone, agree an alternative contact and meeting plan with the operator before booking.

Explain the destination precisely

Provide a full hotel or home address and identify the entrance. For serviced accommodation, check where the keys are collected: the key collection address may differ from the building itself. If another stop is needed, include it in the itinerary and quotation.

Discuss any practical assistance requirements

Tell the team about difficulty walking, substantial luggage or time needed to board. Ask what the allocated vehicle and meeting arrangement can accommodate. A chauffeur transfer and assistance inside the airport are different services, so do not assume booking one arranges the other.

Give the visitor a short arrival message

Share the operator name, booking reference, agreed meeting instructions and contact number in a format the visitor can save. Include the destination address so they can check it. Keep the message simple, especially if English is not their first language.

What if you want to pay on their behalf?

Confirm the payment method with the booking team and make sure the traveller knows what has been arranged. If you require a receipt or invoice, provide the correct billing details. Do not include payment-card details in the message you send to the passenger.

Can the operator tell you when they arrive?

Request an arrival update when arranging the journey and agree the recipient. This can be useful when you are meeting the visitor at home or coordinating a hotel reception, but it should be explicitly arranged.
